About the role

Marketing & Event Operations Manager at Passage Health in New York, NY. Hybrid, full-time, paying $110k–$150k. Posted November 5, 2026.

About the Company

Passage Health is a fast-growing Series A startup on a mission to improve the quality and accessibility of autism care through technology. Autism diagnosis rates have surged over the past decade to 1 in 31 children, yet families still face waitlists of up to a year for care as providers, hampered by antiquated technology and manual workflows, struggle to meet surging demand.

We’re building the platform that modernizes how autism care providers work, from clinical documentation to operations to billing, transforming how care is delivered and scaling access across a $460B market.

Over the past year, Passage has grown more than 3x, driven by strong customer demand and expanding partnerships across the autism care ecosystem. As we scale, we’re focused on building durable foundations: the systems, processes, and decision-making needed to support long-term growth.

What You’ll Be Doing

This is an opportunity to build and own the operating engine behind Passage marketing, from the HubSpot instance that runs every campaign to the conferences and events where we meet autism care providers in person. This operations role will be deeply embedded within, and specific to, the marketing department, and must partner closely with colleagues in Revenue Operations. Reporting directly to the VP of Marketing, you’ll partner with Sales, Revenue Operations, Product Marketing, Customer Success, and Finance across five areas:

HubSpot and Marketing Systems

  • Serve as the HubSpot owner and administrator for the top and middle of the funnel: Manage properties, lifecycle stages, lead status, workflows, lists, forms, lead scoring, user permissions, and integrations with the rest of the go-to-market stack.

  • Design and maintain lead routing, handoff, and SLA workflows between Marketing and Sales so every inbound and event lead reaches the right owner quickly, working closely with partners in Revenue Operations.

  • Evaluate, implement, and manage the marketing tool stack, including event registration, webinar, and lead capture tools, and keep them connected to HubSpot.

  • Document processes, naming conventions, and governance standards so the instance stays clean as the team and the business scale.

Campaign Operations

  • Build, QA, and launch campaigns in HubSpot and assorted tools including sequences, landing pages, forms, nurtures, etc., working from briefs created by Product Marketing.

  • Own the marketing calendar and campaign intake process, setting clear timelines and turnaround standards from approved brief to live campaign.

  • Create lightweight reusable templates and campaign playbooks that shorten setup time and reduce errors.

  • Support Sales with sequences, sales-facing templates, and campaign enrollment for target accounts.

Data, Reporting, and Attribution

  • Own data hygiene from lead to opportunity in HubSpot: deduplication, enrichment, required-field standards, list imports, and regular audits of contact and company records - in close collaboration with RevOps.

  • Build and maintain the funnel reporting that leadership uses to track volume, velocity, and conversion between lifecycle stages, from lead to MQL, SQL and opportunity.

  • Implement and maintain a campaign attribution model, including UTM standards and campaign tagging, so we can connect channels and events to sourced and influenced pipeline.

  • Work with the VP of Marketing to maintain and regularly share out a marketing KPIs live Claude dashboard.

Event Production and Logistics

  • Own end-to-end planning and production for Passage’s event program, including industry conferences and trade shows, customer and prospect dinners, field events, and webinars.

  • Lead event logistics across venue and vendor selection, contracts, registration, booth design and build, AV, sponsorship deliverables, speaker preparation, signage, swag, shipping and inventory, staffing, travel, and on-site operations.

  • Manage pre-event promotion and meeting-setting with Sales, and build the registration, reminder, and follow-up flows for each event in HubSpot.

  • Own lead capture at every event and the post-event handoff to Sales and Customer Success, with leads uploaded, tagged, and routed within one business day.

  • Run event retrospectives with attendee and internal feedback, and use them to improve the experience and format of the next event.

Event Budget and ROI

  • Own the annual event budget: build the event calendar with leadership, manage vendor costs and contracts, and track actual spend against plan for every event.

  • Set pipeline and attendance goals before each event and report results against them afterward.

  • Measure cost per lead, cost per meeting, and sourced and influenced pipeline for each event, and recommend which events to grow, change, or drop.

What Success Looks Like
  • Faster campaign launches: Reduce the time from approved brief to live campaign in HubSpot, and increase the share of campaigns that launch on schedule.

  • Higher funnel velocity: Reduce the average time leads spend in each lifecycle stage, from lead to MQL, MQL to SQL, and SQL to opportunity.

  • Better stage-to-stage conversion: Increase conversion rates between lifecycle stages, with routing and follow-up SLAs met for inbound and event leads.

  • Healthy, trusted data: Reduce duplicate and incomplete records, raise required-field completion, and attribute a growing share of pipeline to a known source and campaign.

  • Events that resonate: Achieve strong attendee satisfaction scores and Net Promoter Score (NPS) on post-event surveys, along with positive feedback from Sales on event quality and execution.

  • Event performance: Hit goals for registrations, attendance rate, meetings booked, and leads captured for each event, with all leads in HubSpot and routed within one business day.

  • Event return on investment: Deliver events on or under budget, lower cost per lead and cost per meeting, and increase sourced and influenced pipeline per dollar spent on events.

What You’ll Bring
  • 5+ years of experience in marketing operations, ideally in B2B SaaS, with meaningful responsibility for events.

  • Deep, hands-on HubSpot administration experience, including workflows, lifecycle stages, lead scoring, reporting, and integrations.

  • A track record of planning and producing in-person events end to end, from conferences and trade shows to smaller field and customer events.

  • Experience owning a budget, managing vendors, and reporting on return on investment.

  • Strong analytical skills and comfort building funnel and attribution reports that inform decisions.

  • Exceptional organization and project management skills, with the ability to run several campaigns and events at once without dropping details.

  • A self-starter mindset comfortable operating with ambiguity in a fast-paced startup.

  • Comfortable working with, or eager to learn, AI and coding tools for Marketing.

  • Amazing people skills to develop deep, trusting cross-functional relationships that scale.

  • Willingness to travel to events, roughly 40% of the time.

Nice to have (optional):

  • HubSpot certifications.

  • Experience producing events for healthcare, clinical, or provider audiences.

  • Experience with event and webinar platforms and with HubSpot and Salesforce integrations.

  • Experience at an early-stage (Seed to Series B) startup.

Why Passage Health?
  • Outsized impact: as an early employee, your work will shape both the company and our users’ experience.

  • A fast-paced environment full of substantive challenges.

  • Competitive salary and equity.

  • Healthcare, dental, and vision benefits.
